The short version
Zapier is the first tool most ops teams should try: 9,000+ app connections, a free plan with 100 tasks a month and multi-step Zaps with webhooks from $19.99 a month. Make is nearly level and is the better pick when a handoff has many branches, because its visual editor shows every route and its Router and error handler modules do not use credits. Activepieces gives the most for a flat fee, $20 a month for 10,000 credits with cloud or on-prem hosting, and n8n bills per full workflow run, which keeps long multi-step flows cheap if your team is comfortable with a more technical editor. Power Automate is the natural choice inside Microsoft 365 and adds desktop RPA. Albato, Integrately and Pabbly Connect cut the cost of high task volumes, while Tray.ai and Workato are built for larger companies that need governance, on-premise connectivity and a sales-led contract.
Short answer
Zapier is the best workflow automation software for operations teams that want to connect SaaS apps quickly in 2026, with Professional from $19.99 a month; Make suits ops teams that map handoffs as visual, branching scenarios; Albato Pro is the cheapest paid option at $15 a month, and Power Automate Premium also costs $15 per user a month paid yearly.
This list is for operations teams that pass work between SaaS apps by hand today: copying a closed deal into billing, opening an onboarding ticket when a contract is signed, or posting a Slack alert when an order stalls. Each tool here can replace those handoffs with a workflow that starts on a trigger and runs the next steps on its own. We compared documented features and published prices on each vendor's own pages, and scored capabilities at 40%, ease of setup at 30% and value at 30%. Starting prices are the cheapest paid plan in USD as shown on the vendor's page. Make did not show a price table to us, n8n and Pabbly Connect showed EUR and INR from our location, and Workato does not publish prices, so those four are marked pending.

Free plan with 100 tasks a month; Professional from $19.99 per month; Team from $69 per month
Quoted from the Zapier pricing page on November 7, 2026:
Professional Starting from $19.99 /month
Zapier takes first place for operations teams because it covers the most apps with the least setup. Its pricing page lists 9,000+ app connections, so the CRM, billing tool, help desk and chat app in a typical handoff are almost always supported. The Free plan includes Zaps, Tables and Forms with 100 tasks a month, which is enough to prove one workflow. Professional starts at $19.99 a month and adds multi-step Zaps, unlimited premium apps, webhooks, AI fields and email and live chat support. Team starts at $69 a month for groups that want to build together, and the plan table lists a shared workspace and approval requests in beta. The weak spot is cost at volume: every action step uses a task, so a six-step onboarding flow that runs daily climbs the task tiers faster than on n8n or Pabbly Connect. Ops teams that value speed of setup over unit cost will still come out ahead.
What it does well
- +The widest app catalog on this list at 9,000+ connections
- +Free plan has no time limit
- +Email and live chat support start at Professional
Where it falls short
- −Each action step counts as a task, so busy multi-step flows get expensive
- −Free plan does not include multi-step Zaps
- −Team plan jumps to $69 a month
- Free plan
- Yes, 100 tasks a month

Make is a close second and the better fit when a handoff splits into several paths. Scenarios are drawn as modules on a canvas, and the homepage lists 3,500+ apps out of the box plus custom integrations to anything with an API. For operations work, two details stand out in the pricing FAQ: the Router module that splits a flow into branches uses no credits, and neither do the error handler modules Rollback, Break, Resume, Commit and Ignore. If credits run out, incoming webhooks queue up to your storage limit and run once credits are added, which protects orders or tickets from being lost. Make also documents JavaScript or Python code steps, an MCP server and AI agents, and lists GDPR, SOC 2 Type II and SOC 3, SSO and audit logs. The cost of this flexibility is a steeper first week than Zapier, and loops that touch many rows use a credit per action. Make's price table did not load for us, so check plan prices on its page.
What it does well
- +Branching and error routes do not consume credits
- +Incoming webhooks queue up when credits run out
- +Free plan with no time limit and no card required
Where it falls short
- −Credits are counted per module action, so loops over many rows add up
- −The canvas takes longer to learn than a linear Zap
- −We could not confirm USD plan prices from our location
- Free plan
- Yes, no time limit
- Billing unit

Free plan with 1,000 credits a month; Plus $20 flat per month; Team $200 flat per month
Quoted from the Activepieces pricing page on November 7, 2026:
Plus For daily builders $20 flat per month
Activepieces is the value pick for operations teams that run steady volumes. Its pricing page shows a Free plan with 1,000 credits a month, unlimited flows and up to 5 users, then Plus at $20 flat per month with 10,000 credits and Team at $200 flat per month with 50,000 credits, 25 users, SSO and standard roles. Past the included credits, Plus and Team keep running at $0.007 per credit rather than stopping. Every plan can be hosted in the cloud or on-prem, which matters when finance or HR data must stay inside your network. The builder documents waitpoints, subflows, error handling and human approvals, so a flow can pause for a manager's sign-off before it touches a payment. The catalog of 770+ apps is smaller than the leaders, so confirm niche tools before you commit, and note that Free plan credits reset daily and pause flows until the next day.
What it does well
- +Flat pricing instead of per-user fees
- +Plus includes 10,000 credits a month, then $0.007 per credit
- +Same hosting choice from Free upward
Where it falls short
- −770+ apps is a smaller catalog than Zapier or Make
- −Free credits reset daily and flows wait when they run out
- −Plus is capped at 5 users
- Free plan
- Yes, 1,000 credits a month
- Plus
- $20 flat per month, 10,000 credits
- Team
- $200 flat per month, 25 users
- Overage
- $0.007 per credit on Plus and Team

No US price was listed when we checked. See the n8n pricing page.
n8n is the strongest choice for ops teams that build long workflows. Its pricing page states that all plans include unlimited users, unlimited workflows and every integration, and that pricing is based on monthly workflow executions regardless of complexity. A flow with twenty steps counts once per run, which is a big saving over per-step billing when you process records in loops. Starter includes 2.5K executions a month and Pro 10K, with admin roles and workflow history on Pro. The homepage lists 500+ native integrations plus any API through HTTP requests, and the plan table includes code steps in JavaScript or Python, webhook and queue triggers, and human approval for tool calls. Business adds SSO, multiple environments and Git version control. The Community Edition can be self-hosted at no license cost. The trade-off is the learning curve: n8n expects builders who read JSON and API docs. Prices showed in EUR for us, so check USD on its page.
What it does well
- +A 20-step flow costs the same as a 2-step flow per run
- +Any API reachable through HTTP requests
- +Community Edition is free to self-host
Where it falls short
- −The editor assumes comfort with data structures and APIs
- −500+ native integrations is fewer than the visual leaders
- −SSO and Git version control sit on the higher Business plan
- Free option
- Self-hosted Community Edition
- Billing unit
- Workflow executions, unlimited steps
- Starter
- 2.5K executions a month
- Users
- Unlimited on all plans

30-day free trial; Premium $15 per user per month paid yearly; Process $150 per bot per month
Quoted from the Microsoft Power Automate pricing page on November 7, 2026:
Power Automate Premium $15.00 user/month, paid yearly
Power Automate is the obvious candidate for operations teams already standardized on Microsoft 365. Premium costs $15 per user a month paid yearly and, per the pricing page, covers cloud flows, attended desktop flows and process mining for individual users. That combination is unusual: the same license can move data between SaaS apps and click through an old desktop application that has no API. The product page lists more than 1,000 API connectors with the option to build custom ones, plus attended and unattended RPA. Unattended automation is licensed separately, with Process at $150 per bot a month and Hosted Process at $215. A 30-day trial replaces a permanent free plan. The main drawback is planning: mixing per-user and per-bot licenses takes more effort than a single task allowance, and the builder feels most natural to people who already know the Microsoft admin tools.
What it does well
- +Premium includes cloud flows, attended desktop flows and process mining
- +Automates legacy systems through user-interface actions
- +Fits existing Microsoft 365 identity and admin
Where it falls short
- −Unattended bots cost $150 per bot a month
- −Licensing by user and by bot is harder to plan
- −Less polished for teams outside the Microsoft stack
- Free trial
- 30 days
- Premium
- $15 per user per month, paid yearly

Free plan with 100 transactions; Pro from $15 per month billed annually ($22 monthly); Teams from $65 per month
Quoted from the Albato pricing page on November 7, 2026:
Trial 7 days $22 /mo $15 /mo 1K transactions
Albato is the cheapest paid plan on this list and a sensible step down from Zapier for small operations teams. Pro costs $15 a month billed annually, or $22 month to month, for 1K transactions, and the pricing page defines transactions as successfully executed automation steps. Pro unlocks unlimited automations and steps, data migration, auto replay of failed runs, parallel scenario execution, AI agents and 30-day log storage, with automations updating every 5 minutes. Teams at $65 a month adds five seats, roles and shared projects with 3-minute updates. The catalog lists 1,000+ apps plus custom webhooks and API calls. The Free plan is tight, with 100 transactions, 5 active automations and 2 steps per automation, so it works for a test rather than a real handoff. Extra transactions are $0.033 each, so price your peak month before you buy.
What it does well
- +Pro starts at $15 a month billed annually
- +Only successful steps count as transactions
- +Automation checks every 5 minutes on Pro
Where it falls short
- −Free plan allows 2 steps per automation
- −Extra transactions cost $0.033 each
- −Smaller catalog than Zapier or Make

Free plan with 100 tasks; Starter $19.99 per month billed annually; Professional $39 per month billed annually
Quoted from the Integrately pricing page on November 7, 2026:
Starter $ 19 .99 per month, billed annually (saves 33%) 2,000 Tasks
Integrately trades depth for speed and task volume. Its homepage promises ready automations for 1,500+ apps that you select and activate, which suits ops teams who want a common handoff, such as form to CRM to Slack, running without designing it from scratch. Starter costs $19.99 a month billed annually for 2,000 tasks, Professional $39 for 10,000 tasks and Growth $99 for 30,000 tasks, so per-task cost is well below Zapier at the same price. The plan table lists webhooks, if/else branching through paths and routers, AutoRetry, an iterator and a scheduler, with 24*5 live chat support on every plan. The limits show up in team use: Starter and Professional are one user, and the Free plan is single step with 15-minute updates. There is no self-hosting and little in the way of environments or audit features, so larger operations teams will outgrow it.
What it does well
- +Starter includes 2,000 tasks a month
- +Branching available from the Free plan
- +Live chat support even on Free
Where it falls short
- −Free plan is single step
- −Starter allows 1 user
- −Fewer developer and governance features than the leaders
- Free plan
- Yes, 100 tasks
- Starter
- $19.99 per month billed annually, 2,000 tasks
- Professional

No US price was listed when we checked. See the Pabbly Connect pricing page.
Pabbly Connect competes almost entirely on cost, and for high-volume operations work that can be the deciding factor. The pricing page states that triggers and internal steps are free tasks and only action steps use your task count, so a flow that filters, formats and routes data before one write is billed for that single action. Pabbly also sells a one-time payment plan with lifetime access, which is rare in this category and attractive to teams tired of rising subscriptions. The integrations directory lists 2,000+ apps, and the builder supports multi-step workflows. The Free plan gives 100 tasks a month with no credit card. The trade-offs are polish and control: there is no self-hosting, and the governance, environments and audit features of Workato or Make are missing. The pricing page showed INR from our location, so we could not confirm USD prices.
What it does well
- +Only action steps count against the task limit
- +Lifetime plan avoids recurring fees
- +Free plan needs no credit card
Where it falls short
- −Prices showed in INR from our location
- −Fewer governance features than enterprise tools
- −Cloud only

- Triggers and internal steps are free

Free trial; starts at $50 per month on Tray Helix Builder Edition; usage measured in Tasks and HCUs
Quoted from the Tray.ai pricing page on November 7, 2026:
You can start on the Tray AI Orchestration Platform for $50 a month with Tray Helix Builder Edition.
Tray.ai is aimed at companies whose operations teams have outgrown SMB tools but still want to build without a full engineering project. The pricing page says you can start for $50 a month on Tray Helix Builder Edition, with a free trial to size usage first. Pricing is usage based: integrations, automations, apps and MCP tools are measured in Tasks and Helix Compute Units, with no per-user, per-connection or per-runtime fees, and one Task is roughly one workflow step, including each pass through a loop. The homepage lists 5,000+ apps, databases, APIs and services, plus the Merlin Agent Builder and an Agent Gateway for MCP. Regional hosting, log streaming and on-premise connectivity are available for stricter environments. The downsides are complexity and commitment: usage above your plan is settled at a true-up, and the platform is more than a small team needs.
What it does well
- +Broad connectivity across apps, databases and APIs
- +Cost follows usage, not headcount
- +Free trial to measure usage before buying
Where it falls short
- −Usage above plan is settled at a true-up
- −Built for larger teams, heavier than SMB tools
- −Advanced features such as regional hosting are add-ons
- Starting price
- $50 per month

Workato has the deepest feature set here, but it is built for enterprise operations rather than a team swiping a card. The pricing page lists four editions. Standard includes application integration and process automation, recipe lifecycle management, dev, test and production environments, SAML SSO, MFA, role-based access control and 30-day log retention, with 1 concurrency. Business MCP adds pre-built MCP servers, an AI and MCP gateway, data integration, an API platform and on-premise connectivity agents, and higher editions add event streams, document processing and the Agent Studio. Workato states 1,200+ pre-built connectors are included for every user. For ops teams in large companies, the environments and access controls make it easier to let several departments build without breaking each other's flows. The drawbacks are cost visibility and effort: no prices are published, contracts vary, and getting value out of it usually takes dedicated owners and training.
What it does well
- +Strongest governance and environment controls on this list
- +1,200+ connectors included for every user
- +Covers integration, data pipelines and agents in one contract
Where it falls short
- −No published prices

Before you pick a product or a plan
Start from the handoffs you already do by hand
List the five most common moments where someone copies data from one app to another or pings a colleague to take the next step. Check that every app in those handoffs has a native connector on the shortlist, then check whether the triggers you need exist, such as a new deal stage, a signed document or a ticket status change. A large catalog matters less than covering your own five apps well.
Price one real workflow in each vendor's unit
Zapier and Integrately count tasks, Make and Activepieces count credits, Albato counts transactions, Tray.ai counts Tasks and Helix Compute Units, n8n counts full workflow executions, and Power Automate charges per user or per bot. Pabbly Connect does not count triggers and internal steps. A five-step flow that runs 500 times a month costs very different amounts across these models, so do the arithmetic before comparing headline prices.
Plan for errors and retries
A handoff that silently fails is worse than a manual one. Look for retry options, error routes and run logs you can search. Make offers error handler modules, Integrately lists AutoRetry, Albato includes auto replay on Pro, and log retention ranges from 7 days on Albato Free to 30 days on Workato Standard. Assign someone to watch failures in the first month.
Check who can build and who can approve
Operations teams often want many people building but a few people approving changes. Zapier Team adds shared workspaces and SAML SSO, Activepieces Team adds SSO and roles for 25 users, n8n Pro adds admin roles, and Workato Standard includes role-based access control with dev, test and production environments. If a flow touches money or customer records, use the approval steps some tools document, such as n8n's human approval for tool calls.
Decide early whether data must stay in-house
Activepieces runs in the cloud or on your own servers on every plan, and n8n's Community Edition is free to self-host. Power Automate desktop flows run on Windows machines you control, and Workato and Tray.ai offer on-premise connectivity for internal systems. The rest of this list is cloud only.
Questions readers ask
- What is the best workflow automation software for operations teams?
- Zapier ranks first for its 9,000+ app connections and quick setup, with Professional from $19.99 a month. Make is a close second for branching handoffs, and Activepieces is the best value at $20 flat a month for 10,000 credits.
- What is the cheapest workflow automation software?
- Albato Pro is the cheapest verified paid plan at $15 a month billed annually for 1K transactions. Power Automate Premium is also $15, but per user a month paid yearly. Free plans exist on Zapier, Make, Activepieces, Albato, Integrately and Pabbly Connect.
- Which workflow automation tools can be self-hosted?
- Activepieces can run in the cloud or on-prem on every plan, and n8n's Community Edition is free to self-host. Power Automate desktop flows run on your own Windows machines, and Workato and Tray.ai offer on-premise connectivity.
- How do workflow automation tools charge?
- Zapier and Integrately charge per task, Make and Activepieces per credit, Albato per successful transaction, n8n per full workflow execution, Tray.ai in Tasks and Helix Compute Units, and Power Automate per user or per bot. Pabbly Connect does not count triggers and internal steps.
- Do I need an enterprise platform like Workato or Tray.ai?
- Usually only if many departments build automations and you need separate test and production environments, strict access control or on-premise connectivity. Most small and mid-size ops teams are well served by Zapier, Make, Activepieces or n8n.
